Administrative Assistant

We are currently seeking a highly outgoing and organized individual to plan and manage professional and personal calendars and communications for a busy executive and provide support to his team as needed. Executive Time Management. Calendar management for CEO; coordinate and schedule zoom meetings and follow-ups with outside parties; coordinate and manage travel arrangements; create itineraries that involve different time zones, airline, car, and hotel preferences, etc.
Communication Management. Email management for CEO; drafting and screening emails; receiving incoming communication or memos on behalf of senior staff, reviewing contents, determining importance, and summarizing and/or distributing contents to appropriate staff members; coordinating internal communication; assisting with team workflows, etc.
New Business and Existing Client Intake. Assist team in tasks such as obtaining client information, ordering medical records, preparing files, distributing documents to clients and other advisors, etc.
Quality Control of Files and Documentation. Ensure client records and notes are complete and accurate; filing, typing, copying, scanning, organizing, etc.
Miscellaneous. Preparing materials needed for meetings; basic bookkeeping; etc.
Assisting the CEO in both personal and professional tasks.

·2+ years of experience in an administrative support role
·Ability to function well in a high-paced, and at times, stressful environment
·Highly organized and detail-oriented
·An extrovert who is comfortable interacting with various personalities
·Excellent communication skills, both verbal and written
·Excellent computer skills & proficiency in Microsoft Office + MS Excel.
·Ability to identify areas for process improvement + continually make sug.
·Preferences: experience with life insurance, financial planning
